Role Summary: The Executive Assistant (EA) will be responsible for running the day to day operation of the office for 2 Senior Executive Leaders within the business and, to oversee and manage a diverse slate of events. They will be the right hand person and provide comprehensive assistance/solutions to the Senior Executive global leaders who are managing employees across various countries and time zones.
Diary management – being the first point of contact for the Senior Leader, fielding all calls and enquiries and using judgement to handle requests on a prioritized basis
Business events – sourcing venues and quality suppliers considering cost saving strategies, managing events schedules, compiling and managing guest lists, planning meetings, pulling together presentation, organizing events and functions
Managing the communication plan with the respective group of employees using wide range of communication channels such as video, web, blog, publishing
Manage multiple tasks and work alongside the leader, incorporating knowledge and understanding of relevant decisions and plans of the organization
Liaise at the highest level with International directors, customers and company executives
Manage all executive leadership instigated internal and external meetings and recognise what is priority
Regularly update the Senior Leader with status of projects and actions
Manage all details of complex travel itineraries, collect travel documentation and receipts
Complete and submit expenses through Concur ensuring timely settlement of corporate Credit Cards
Manage the Senior Leaders contacts and e-mail distribution lists
Raise & approve purchase orders for the Senior Leader
Establish and maintain positive relationships with internal and external clients
Provide support on various projects using various presentation materials
Manage team events – including off-site meetings and leadership team social events
Impressive track record of working at Executive Assistant level for senior executives
Ability to work with confidential and sensitive information with absolute discretion and diplomacy
Bright, confident and resilient with a ‘can do’ attitude
Experienced super-user of MS office products including Word, PowerPoint, Excel and Outlook. Savvy with new company technology.
Excellent verbal and written communication skills, especially in dealing and managing a wide range of stakeholders across the globe
Extremely collaborative – understands the importance of working as a team and can build effective relationships across all levels of the organisation
Approachable but has the ability to push back professionally where required
Highly organised – can manage conflicting priorities calmly and effectively to meet deadlines
Excellent organisational, analytical and administrative skills, together with excellent interpersonal skills, telephone manner and attention to detail
Ability to work independently and show a strong sense of initiative
Has excellent attention to detail
Works well under pressure
Working hours – due to the full-time nature of this role, must be flexible in approach and be able to amend hours as required to suit business needs
