Role Summary:
United States (US) Regional/Central Services Formalities Specialist provides assistance to Intellectual Property (IP) counsels of Global Patent Operation, who prepare, file and prosecute patent cases with and before the US Patent & Trademark office (USPTO) as well as foreign Patent Offices.

Essential Responsibilities:
  • Format and finalize patent documents and submit them to the USPTO. 
  • Update GE’s patent data asset management system with local related actions, creating and closing ensuring accurate up to date reports for the attorney. 
  • Work with Global IP management team and/or actively promote simplification of processes to increase efficiency, lower costs and minimise risk for all patent formality activities. 
  • Provide assistance to GE’s Businesses and counsels as need arises, such as collecting and collating data, translating documents, etc. 
  • Collaborate with global paralegal colleagues providing and communicating solutions to local based queries. 
  • Support M&A activity in local jurisdiction with items including but not limited to, completing required tasks to ensure name changes, assignment changes and re-assignment of insourced workload at the patent offices. 
  • Managing the docket(s) of the patent attorney(s) and patent agent(s) with whom the Specialist is aligned. 
  • Assisting with developing, tracking, maintaining and analyzing IP data to support attorneys & businesses with Portfolio and Budget Management. 
  • Complete in a timely manner and at a high level of quality specifically identified classes/types of matters on attorney’s docket. 
  • Draft and transmit engagement letters to GE’s outside counsel. 
  • Collect data through use of Business Objects or other tools to enable collection of data and associated reporting. 
  • Interface with GE’s preferred providers of patent legal services globally and the GE businesses and GPO offices as required to ensure that filings are made by the required filing dates and deadlines. 
  • Assist with special projects to address GPO and business needs. 
  • Prepare, organize and file patent applications in the US, other countries, and PCT system on behalf of GE. 
  • Manage information disclosure statement process (IDS) and responses to notifications of missing parts for attorney review and submittal. 
  • Prepare and timely submitting documents required to further prosecution of US, ex-US, and PCT applications.


Qualifications/Requirements:
  • Knowledge of laws, regulations, practices, and procedures relating to procurement of patents in the US and in countries other than the US, as well as knowledge of and experience using the USPTO’s PAIR system and EFS (electronic filing system) to file US and PCT patent applications. 
  • Associate Degree or higher from an accredited college or university in a related field, and 5 years of patent practice work experience in a law firm or in-house legal department (or minimum 7 years of experience without an Associate Degree). 
  • Demonstrated knowledge of GE’s patent processes and best practices and the ability to consistently apply.

  • Basic knowledge of patent procedures of foreign Patent Offices especially in JP, EP and China.

  • Ability to accurately follow complex procedures and be proactive to improve and simplify existing processes. 
  • Ability to work with and maintain confidential information. 
  • Ability to exercise sound judgment and execute against deliverables under tight deadlines and competing priorities. 
  • Strong time management skills. Must be able to handle multiple projects simultaneously in a fast- paced environment. 
  • Cope well in a pressurized environment. 
  • Adaptable and open to change, process oriented, global mindset. 
  • Flexible and innovative approach to problem solving. 
  • Working knowledge of Business Objects (GE’s system for running reports of data in PAGE). 
  • Strong working knowledge of Adobe Professional and Microsoft Office software products. 
  • Experience communicating with clients, such as outside counsel and members of a business team at a variety of levels of management, as well as virtual and / or global teams. 
  • Experience managing concurrent projects from initiation to completion.
